When an electronic document is made available for review by other entities, it is often convenient to store the document in a repository or database managed by a third party. A system is provided in which the entities authorized by the originator of a document to access it in the data repository, are able to securely search for the document filed with a third party repository without having to trust the administrator of the repository to provide accurate information on their access privileges. The document originator, the repository administrator and all entities with access privileges to data in the repository have vault environments which are secure extensions of their respective work spaces. The vault of the document originator maintains an access control list (ACL) for each document it has deposited with the repository. The vault of each entity with access privileges to any documents in the repository maintains a capability list of the entity's access privileges to all of the documents stored in the repository. The entity itself maintains proof of the latest version of its capability list on its own desktop. When the ACL for a document is updated in the document originator's vault, the originator's vault determines what entities are affected by the change, and communicates the change to the affected entities' vaults. Each vault updates its own capability list, and at the first available opportunity, updates the proof of the latest version of the capability list on the entity's desktop.
